# Managing content collection forms

Create, preview, delete, and regenerate content collection forms from a board using the Create menu

## Who can create content collection forms?

👨‍👩‍👧‍👦 Supported on `any` **Air plan**  
✏️ Anyone that has access to **edit** workspace or board

Use forms to collect content from people external to your workspace. This simplifies gathering assets and information from external sources, streamlining your workflow.

In the board header, **Create** is used for Collect Content form creation and board-structure actions, while **Upload a file** is used for uploads and imports.

## Creating a form

1. Head to the board you would like the content uploaded to.

2. Select the blue **Create** button in the top right.

3. Select **Collect Content**.

4. Select **Create form**.

5. Set up your form with the permissions and custom fields you want to use.

1. Customize the form name if desired.

2. Add a description to provide helpful guidance to form visitors on what to submit with the form.

3. Toggle on `Require Name & Email address to submit` to require the submitter's name and email address prior to submission.

4. Toggle on `Organize submissions into sub-boards` to preserve folder structure from submitted content.

5. Content Collection forms support submissions of up to 10,000 items. This count includes all submitted boards, folders, and assets, including loose files added by drag-and-drop or file picker selection.

6. Toggle on `Start uploads immediately for submissions` to configure a content collection form to auto-submit uploads as they complete.

- In auto-submit mode, uploads are submitted automatically (there is no manual “Submit items” step for the uploader).

- Auto-submit forms do not support required/custom fields.

- In auto-submit mode, uploaders cannot remove or make changes to the assets they upload.

7. Apply desired custom fields to the form; only applied fields will be visible.

8. Set custom fields as optional or required.

6. Copy and share the generated link with the folks you want to use it.

### Requiring name and email address? 🔖

The uploader's name can appear in content collection notifications and as the uploader context for submitted assets. The uploader's email address is collected, but it is not attached to the uploaded asset as metadata and is not visible in the standard Air UI.

Use required custom fields for any uploader information that needs to stay attached to uploaded assets. Records of collected uploader email addresses are available through Air support-assisted reporting rather than a self-serve UI workflow. **_Submission behavior_**  
When uploading through a content collection form:

- The Submit button is disabled if any upload is paused or has failed. Resume, retry, or remove the problematic item to continue.

- Using Cancel in the uploader pane does not remove completed uploads; it only stops in-progress items.

## Previewing a form link

1. Head to the board connected to the form link you want to preview.

2. Select the blue **Create** button in the top right.

3. Select **Collect Content**.

4. Select the edit menu button (three dots) for the form URL.

5. Select **Preview link** to open the form link in a new tab in your web browser.

## Deleting a form link

1. Head to the board connected to the form link you want to delete.

2. Select the blue **Create** button in the top right.

3. Select **Collect Content**.

4. Select the edit menu button (three dots) for the form URL.

5. Select **Delete link**.

6. Confirm deletion by selecting **Delete link**.

## Generating a new form link

1. Head to the board connected to the form link you want to regenerate.

2. Select the '+ Add' button in the top right.

3. Select Collect Content.

4. Select the edit menu button (three dots) for the form URL.

5. Select 'Generate a new link'.

Confirm link regeneration by selecting 'Generate new link'.
